Child Safety Guidelines for landcare groups

These guidelines were prepared in 2022 for organisers of landcare events and activities in response to updated Child Safety legislation. They are not mandatory and should be adapted to the relevant circumstances. However, any adaptation by a member organisation must continue to meet the requirements of Landcare Victoria's Child Safety Policy and any relevant legislation.

This Insurance Overview outlines the basic conditions and coverage of the Landcare Victoria insurance package in 2025/26. A more detailed Insurance Summary is provided to members annually upon renewal of membership, and full policy documents are also available to financial members on request.

Templates

Participant List Template

All Landcare Victoria member organisations must record the participants at their events and activities for insurance purposes. This template is one option, but any template that records participant names and contact information may be used. Participant records should be kept for seven years in case an insurance claim or dispute arises after the event.

Membership List Template

All Landcare Victoria member organisations are expected to keep accurate records of their members, including the full name and address for notice for each. This template is one option, but any template or software that records the necessary information may be used. Please note: If your organisation has a governing document (i.e. rules/constitution) you must collect the member contact details outlined within. Other relevant details such as committee positions or categories of membership (e.g. 'associate member' or 'honorary member') should also be recorded.

Agenda and Minutes Template

All Landcare Victoria member organisations are expected to keep accurate records of their meetings. An agenda should be prepared before each meeting and distributed to participants, outlining the items to be discussed. Minutes are drafted while the meeting is in progress to record all decisions made and actions arising, with the final minutes document serving as the official record of the meeting. These templates have been filled with sample information to demonstrate how a finished document might look and may be adapted as needed by members.

Activity Risk Assessment Template

All Landcare Victoria member organisations are expected to conduct a risk assessment prior to any planned activity. This template is one option, but any other risk assessment form may be used if appropriate. For guidance on conducting an activity risk assessment, please refer to this note.
